Position Description:
The Development Manager will play a key role in advancing the mission of Williams College Museum of Art (WCMA) by planning, organizing, and implementing projects around donor stewardship and museum related events and programs for alumni and prospects in the college community. The Development Manager will function as a collaborator across museums departments, including Engagement, Communications, and Curatorial, as well as the college’s Alumni Relations staff, Stewardship office, and Advancement Operations team to streamline communications and processes that are key to shared goals. This position provides critical logistical support to the museum’s major donor programs, and the Visiting Committee, the museum’s leadership advisory group.

Responsibilities:
STEWARDSHIP
– Coordinate and execute the department’s established stewardship communications calendar
– Create unique annual reports for WCMA endowment and collection donors by assembling and facilitating the gathering of content including photos, anecdotes, and other first hand materials
– Act as a point person for communication with the college’s Stewardship office
– In coordination with the museum’s Communications team, assemble content for inclusion in a museum Annual Report

EVENT MANAGEMENT
– Work with the Director of Development and Alumni Relations staff to provide logistical support as appropriate for all event needs that involve the museum including sending invitations, managing guest lists, providing check-in services and on site event management day of
– Contract with outside vendors and manage communications, payments, and budgets as needed
– Assist in coordinating extended trips or offsite events on a case by case basis
– Oversee logistics for meetings of the Visiting Committee

COMMUNICATIONS and ENGAGEMENT
– Manage and maintain a comprehensive development activities calendar
– Create gift acknowledgment letters and oversee the signature, mailing and filing process of such letters
– Maintain current mailing lists held in the college’s development databases
– Work to create appropriate mailing lists/segments for varied types of museum communications

DEVELOPMENT OPERATIONS AND DATA MANAGEMENT
– Help maintain the museum’s internal prospect tracking systems and establish best practices for consistent tracking within the college’s development databases
– Function as the project manager for ongoing collaborative needs with the office of College Relation’s Advancement Operations team
– In collaboration with staff across departments, facilitate donor communications and critical paperwork as a part of the museum’s acquisitions processes
– Serve as point person on day to day development database needs such as data entry, list creation, data cleaning, report building, and updating individual records with museum related information as appropriate

Qualifications:
– Successful candidates will have an associates degree and at least three years of experience in a related field, or an equivalent combination of education and experience
– Ability to handle confidential and sensitive information with discretion
– Facility with software including, Microsoft Excel, Word, and Powerpoint and Google Suite is essential
– Experience with relationship management software and/or fundraising databases
– Excellent written, interpersonal and verbal communication skills; ability to communicate with individuals from diverse background
– High attention to detail
– Ability to project manage, handle diverse, simultaneous tasks, self-start and attend to follow- through
– Capacity to create positive relationships and work in a diverse environment
– Occasional flexibility to work evenings and/or weekends for special events

Salary: starting at $45,000, commensurate with experience
